Why SKUSavvy flags inventory that has no bin, how to assign unallocated stock to a Shelf, and how to reconcile or delete negative reconciliation records.

Unallocated Stock & Reconciliations

Every unit of inventory in SKUSavvy normally lives in a specific Bin on a Shelf. When a quantity exists without a Bin, the inventory list flags it so you can resolve it. There are two kinds of unresolved stock, and SKUSavvy shows a different button for each.

Assign Location: a positive quantity that has no Bin yet. The stock is on hand but has not been put away (for example, items you just checked in or imported).

Reconciliation Needed: a negative quantity that has no Bin. This is a deficit: SKUSavvy expected stock to leave a Bin but could not attribute it to one. You either tell SKUSavvy which Bin the stock came from, or confirm the stock is gone.

Resolve these records promptly. Until a deficit is reconciled, your bin-level counts and your warehouse total can disagree.

Why Reconciliations Appear

A reconciliation (a negative, binless quantity) is created whenever stock must be removed but SKUSavvy does not know which Bin it left. Knowing the cause tells you whether to reconcile from a Bin or delete the record.

An order was fulfilled outside of SKUSavvy, so the units were never picked from a known Bin.
Shopify reports lower availability than SKUSavvy, so SKUSavvy lowers its count to match.
A manual adjustment or import reduced stock without naming a Bin.

SKUSavvy reconciles automatically when it safely can. The records described here are the ones left for you to resolve by hand.

Find Items That Need Action

To find every record that needs attention, open your inventory list. Items with no Bin surface a button so you can act on them directly.

Open the inventory list and use the flat list view so individual quantities are visible.
Look for the action button on each row: it reads Assign Location for positive stock or Reconciliation Needed for a deficit.
Alternatively, scan the item barcode to jump straight to its quantities.

Click the row button to verify the Bin a quantity belongs to before you confirm.

Assign a Location to Unallocated Stock

To put unallocated stock away, click Assign Location on the item. This opens the Assign Location form, where you choose how much stock goes into which Bin.

Set the quantity to assign. It cannot exceed the unallocated amount on hand.
Scan or select the Bin to put the stock in. Scanning the Bin barcode is fastest and confirms you are at the right Shelf.
If the item tracks expiration, select the Lot. If the item is serialized, scan or enter the Serial, which sets the quantity to 1.
Click Assign to move the stock into that Bin.

If the Bin has a capacity limit, SKUSavvy caps the quantity to the space that remains. If directed put-away criteria are on, only Bins that match the item are offered.

Reconcile a Deficit From a Bin

To settle a deficit, click Reconciliation Needed on the item. This opens the Reconcile Inventory form, where you name the Bin the missing stock actually came from.

Select the origin Bin. Only Bins that currently hold this item are listed, each showing the amount available.
Set the quantity to reconcile. SKUSavvy prefills the full deficit and limits you to the smaller of the deficit and the stock available in that Bin.
Click Reconcile to pull that quantity out of the Bin and cancel the deficit.

Reconciling only relocates the loss. It removes stock from the Bin you chose and applies it against the deficit, so the two cancel out. Your warehouse total does not change, and nothing syncs to Shopify: you are recording where the stock left, not changing how much you have.

Delete a Reconciliation Record Instead

Sometimes no Bin holds the item because the stock truly left the building. In that case there is nothing to pull from, so you delete the record instead of reconciling it.

When no Bin has the item available, the Reconcile Inventory form shows a Delete Record button alongside a Sync to Shopify toggle.

Click Delete Record to remove the deficit without taking stock from any Bin.
Unlike a reconcile, this lowers your warehouse total, because the stock is gone for good.
Leave Sync to Shopify on to push the new lower total to Shopify, or turn it off to keep the change inside SKUSavvy.

Use Reconcile when the stock is still on a Shelf under the wrong count. Use Delete Record when the stock has actually left your warehouse.
